PoolWorks AI ("we", "us", "our") operates the PoolWorks AI software platform and websites at poolworksai.com and app.poolworksai.com (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the rights you have over it.
1. Information we collect
- Account information: name, email, password (hashed), business name, role.
- Customer records you upload: end-customer names, addresses, phone numbers, pool details, photos, and service history. You are the data controller; we are the processor.
- Usage information: log files, IP address, device/browser type, pages viewed, timestamps. Used for security and product improvement.
- Cookies and similar technologies for authentication, preferences, and analytics.
2. How we use information
- To provide, operate, and maintain the Service.
- To authenticate users and secure accounts.
- To send transactional emails (e.g. password reset, receipts).
- To improve the Service. We do not sell your data.
- To comply with legal obligations and enforce our Terms.
3. How we share information
We share information only with subprocessors necessary to operate the Service: hosting (Vercel), database and authentication (Supabase), email delivery (Resend), and SMS delivery (Twilio, when enabled by you). We do not sell or rent personal information.
4. Your rights
Depending on your location, you may have the right to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise these rights, email privacy@poolworksai.com.
5. Data retention
We retain account and customer data for as long as your account is active. You may delete data at any time. Backups are retained for up to 30 days after deletion.
6. Security
We use industry-standard safeguards including TLS encryption in transit, encryption at rest, role-based access control, and audit logging. No system is 100% secure; we cannot guarantee absolute security.
7. Children
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13.
8. Changes
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent change.
